Download and share assets

Assets pages allow you to download assets directly to your browser, or create shares: time-limited collections of assets you can distribute to internal or external guests. To download or share assets, navigate to an assets page in your portal. Assets displayed belong to your current domain (the organisational unit that determines which assets are visible to you); to switch domain, expand the Domains menu at the top-right and select the required domain.

Download assets

Select the download icon below an asset thumbnail to download it to your browser. To download multiple assets, select the required checkboxes and select the download icon in the toolbar above the asset list. To select all visible assets, use the Select Visible checkbox at the top-right of the asset list.

Assets marked as Unavailable and assets whose expiry date has passed cannot be downloaded.

Share assets

The shares feature must be enabled for your account before you can create shares. Contact your administrator if the Share button is not visible on your assets page.

Create a new share

Select the assets you wish to share and select the Share button above the thumbnails.
Select Create New Share.
Enter a title for the share (mandatory) and an optional description.

Any selected assets that cannot be shared are listed separately in the modal and will not be included in the share.
To invite guests immediately, toggle Choose who has access to on and select Next.

If you do not need to invite guests yet, select Create Share to create the share without inviting guests.
Search for internal users or enter the email address of an external guest.
Select a duration for the share link: 1, 2, 3, 5, 7, 14, or 28 days.
Select Create Share.

The share is created and Shares appears in the left-hand navigation menu.

Add assets to an existing share

Select the assets you wish to add and select the Share button above the thumbnails.
Select Add Assets to Existing Share.
Select the share you wish to add the assets to and select Select.

Manage your shares

Select Shares from the left-hand navigation to open your shares list. Select a share name to open it.

From within a share you can add or remove assets, invite additional guests, remove guests, and enable or disable the share using the Share Enabled toggle.

To invite additional guests, select + Invite Guests at the bottom of the Guests tab. Guests whose links have expired are listed at the bottom of the Guests tab with their email address greyed out.

Guests receive an email notification when invited to a share, containing a link to access the shared assets.
